How Airtable’s Email Block by SendGrid can Automate Your Business

I love being alive in 2018. I grew up in a strange environment where my mother believed she was meant for the era of Jane Austen, but I never identified with that emotion. For me, the present holds so much unbridled potential that I get giddy when I stop to think about all of the things I want to do.

In fact, I’ve found that most entrepreneurs are this way…

One area with seemingly limitless potential for improvement is the subject of automation.

Airtable provides us with a great way to store and visualize our data, but it doesn’t stop there. In fact, Airtable goes further to provide many enhancements, which they call “blocks” to improve the user experience.

One such block is the SendGrid Block.

SendGrid is a marketing email service. Now, I’m not a SendGrid expert, but I’ve sent my fair share of emails. Getting SendGrid to talk to Airtable is very simple – it just takes granting Airtable access to your SendGrid account through an API key. A few simple clicks and a CTRL + V later and your two apps are talking to one another.

So how is this helpful?

Well, how many times have you found yourself sending the same email with the same subject and the same attachments? If you’re like me, you do it more than you’d like to admit. Up until this last week in my business, I had an outdated procedure of submitting proposals. It went like this:

  1. Have a consultation with a new Prospect
  2. Develop the Scope of Work and the Proposal for the Prospect
  3. Manually type email to Prospect, as follows:
    a. Find saved version of email template
    b. Copy and Paste the Prospect’s Email Address
    c. Copy and Paste the SoW and Proposal
    d. Double check spelling and that the correct email, SoW, and Proposal are attached
    e. Send Email

I’m sure you get the picture – this is pretty typical for small business procedures. Outdated methods are largely responsible for keeping us bogged down in the weeds and don’t allow us to focus on growth. The trouble is, with these manual procedures, how do you ever scale your business?

One word: Automation

This is where the Airtable SendGrid Block comes in. With this block, you can create an email template with a high level of customization. Specifically you can:

  1. Limit the recipients to a customized view (that is, a view that is filtered for a specific purpose)
  2. Link Airtable fields into your template (no more copy/paste)

So, back to my archaic process of copy/pasting information into my email template… What once took 5 minutes in proofreading and double-checking now takes less than 10 seconds.

Not to be hyperbolic, but let’s consider this at scale. Let’s assume I submit three proposals per day. That means I’m saving 4 minutes and 50 seconds, multiplied by three (3), for a daily time-save of 14 minutes and 30 seconds. If that doesn’t sounds like a lot, take that over a week and I’ve saved 72 minutes and 30 seconds.

Over an hour per week in recaptured time? Yes please!
